| Vital Aid has been working with VSO for many years helping to transport, amongst other things, personal effects to many countries around the world.
In order to simplify the process for volunteers we have provided the following information:
Export
Packing
- Your personal effects should be packed as you would expect to receive them.
- All goods should be packed in strong, sealed cardboard boxes or lockable bags.
- Anything breakable should be wrapped securely.
- All boxes should have the consignee address printed at least twice in permanent marker
Packing list
- A packing list with values for each box/bag is required.
- The list should state whether the box contains clothes, books, cds etc and a total value should be given per box.
- The packing list should NOT be placed on the box but sent to Vital Aid under separate cover.
Insurance
Insurance is optional. However-please note that VSO does NOT cover your personal effects and cannot provide compensation if they are lost, stolen or damaged. If you do require insurance we can provide it for you- Please ensure you ask for it to be included.
- Insurance will provide you with cover for loss of your box/bag, but it will not cover breakages.
- If there are items you are particularly concerned about please contact us for advice.
VSO Form
The following form must be completed and returned to Vital Aid.
- The form must include a collection and invoice address, and a contact telephone number.
- In order for us to send flight details please also include the local VSO contact, telephone number and email address.

Collection
Please notify Vital Aid of a required collection 2/3 working days before the requested date.
- We need to know in advance how many pieces are to be collected and the type of building it is to be collected from and any access problems.
- Collections are based on an all day service.
Quotes
If you are requesting a guide price from Vital Aid, kindly send us an email with the required information (destination & approx weight & cube).
Import
- The freight should be arranged by the volunteer.
- It is recommended that the goods are packed in strong, sealed cardboard boxes or lockable bags.
- All boxes should have the consignee address printed at least twice in permanent marker.
- A packing list should be provided with the box contents, do not attach the list to the boxes it should be sent separately To Vital Aid
- A C3 form below must be signed and completed and a copy should be sent by fax to Vital Aid, with an original copy to follow by post. Please include a payment address.

Any delay in Vital Aid receiving the signed C3 may result in storage charges from the airline/seafreight company.
Please note:
All procedures for imports & exports as shown are based on airfreight only services. Vital Aid does offer a sea freight service as an alternative and will be happy to quote you when requested.
